Together with the people from deAuteurs, we analyzed the wishes and needs for an online platform for the declaration and management of copyright-protected works. A platform that provides a fair distribution of copyrights or royalties within the disciplines of literature, audiovisual fiction and non-fiction, comics and illustration, performing arts, stage music, games, and VR/AR.

Insights and Priorities
Must-haves and Nice-to-haves
After several exploratory discussions, we mapped out through a series of workshops what functionalities the system needed to have.
By setting priorities together, you get a clear picture of the Must-haves and Nice-to-haves, ensuring we use our time as effectively as possible.
From the beginning, it was clear that a distinct separation was needed for different types of users.
On one hand, there needed to be a management environment for deAuteurs staff, containing multiple process-supporting workflows.
On the other hand, an online portal had to be developed where end users, such as authors, can manage and submit their works for review.
All this with the goal of easily achieving a fair distribution of copyrights or royalties.

Preparation and Development
Collaborating Remotely
After the workshops and setting the priorities, we detailed and discussed the Epics and Stories together with the business owner (Lara Leo). During the preparation, we alternated these important Refinement sessions between Brussels and Bilthoven.
After all that preparation, it was time to start building. Even when we were sprinting with the team, Lara worked several times from our office location so that we could quickly liaise with the team on current questions and needs.
Of course, all the work can be followed digitally and remotely, and we used a combination of Jira, Slack, and Google Meet to keep each other actively informed in the meantime. But sitting next to each other at a desk now and then certainly doesn't hurt.

Deliver and Analyze
Lessons Learned
Because we wanted to release a new online portal for a large group of end users, authors, and other rights holders, we made a plan together on how we would invite this group and which functionalities might become available in phases.
In consultation with our client, we decided to start with a smaller group of users and then activate the rest of all users afterward.
Going live in phases has the advantage that you can immediately apply lessons from the field and make adjustments here and there to ensure an even better user experience for the larger group of users.

The platform for and especially by authors is now live and available for all affiliated authors.
The result is a user-friendly environment in deAuteurs' branding, where members can declare and consult their works.
For management, a corresponding back-office system was created based on our Qore.works software. This management environment is fully tailored to the needs of the organization and their employees.

Continues Improvement
Time for New Must Haves
After a successful release and the software has been delivered, monitored, and analyzed, it's time for the next phase.
In this phase, the remaining Nice to haves and new Must haves are addressed, and we are now reviewing the new wishes together with deAuteurs. We can learn from usage and adjust to changes in the market.
To continue guiding the process from A to Z smoothly, we have also made Service Level Agreement arrangements with each other for regular periodic maintenance and the management of the entire system. This way, we keep the platform safe, fast, and ready for the future together.
The Dolphiq team, together with us, analyzed the needs that the system had to fulfill and made us thoroughly consider the 'musts' and the 'nice to haves' so that the development time could be spent as effectively as possible.

How do the team at deAuteurs feel about our collaboration?
We approached Dolphiq looking for software to manage our member database and track their copyrights. Given the specific nature of the software, Dolphiq turned out to be the right partner for developing our custom system.
