The challenge

With more than 100,000 members, a well-functioning online portal is essential. Members need easy access to information and features relevant to them, while the portal must offer enough space and flexibility for further development. That was exactly the challenge V&VN faced. The previous portal struggled with technical and functional limitations and lacked sufficient speed and flexibility.

Costs were also a challenge. In the previous system, licensing fees were partly tied to usage by authenticated users. For an organization with a large membership base, these costs can rise significantly as usage grows. In addition, the old portal was visually outdated. There was a need for a modern, clear, and intuitive environment that better matched members’ expectations and V&VN’s professional image.

The solution

We replaced the outdated portal with a new and flexible Qore.works portal that is fully integrated with the existing CRM. Members can manage their registrations in various registers, such as the Verpleegkundig Specialisten Register and the Kwaliteitsregister V&V, all from one central environment. The portal also provides access to relevant training and professional information, and members can easily connect with other healthcare professionals.

With this solution, we created a modern and future-proof portal that brings together existing functionalities in one clear environment. Thanks to its modular design, the portal can continue to grow alongside V&VN.

Our approach

First, we put together a core team of 5 to 6 people from V&VN and Dolphiq, including key stakeholders from both sides. Within this team, communication lines were short and we met regularly for refinements to clearly define the requirements. We also worked and had lunch together at the office several times. Sander (product owner and developer at Dolphiq) and Ikrame (functional manager at V&VN) together wrote over 200 user stories. A user story comes from the scrum methodology and describes a single user need, for example: as a member I want to be able to view my registration. This way, V&VN could see exactly what we were working on and provide feedback during development. This co-creation process allowed us to optimize the portal together.

We started with a preliminary study and a thorough inventory of the existing portal. We mapped out the current processes and functionalities of the old portal to get a complete picture of what was already there, which parts were essential, and which functionalities needed to be redesigned or improved in the new portal.

We then translated these functionalities into a new, modular setup. We established the integration with the CRM so that data and processes would align seamlessly in the new portal as well. In development, we didn’t just rebuild the old portal one-to-one. We critically reviewed the existing processes and made improvements to user experience, structure, and technology wherever possible. The result is a functional and clear environment that retains existing features, while offering much more room for further development.
